Simplot Company is a diverse, privately held organization, with roots firmly planted in agriculture and agriculture-related businesses.  These endeavors have been around for centuries and will continue to be a vital part of the global economy.  We currently have an Administrative Assistant/HR Coordinator position open at our Agribusiness Headquarters in Boise, Idaho. Overview: 25% of time will be devoted to providing administrative support to the AB Retail Division. This may require considerable experience, skill, and knowledge of organization policies and practices. May prepare correspondence, memoranda, reports, etc. May schedule and maintain calendar of appointments, meetings, and travel itineraries and coordinate related arrangements. Proficient with appropriate software packages or equivalent. PowerPoint Presentations will be required on a regular basis. Duties and tasks are varied and not always standardized. Performs some advanced functions. Position will support the Retail Vice President. Additionally, the position will serve as the back up to Agribusiness' Executive Assistant, and will be expected to learn the requirements and functions of this position. 75% of time will be devoted to the day-to-day administrative support for AB Retail Human Resources' function. This position is responsible for several or all of the following areas: HRIS data input and maintenance, employee relations, time and attendance record keeping, disability programs, health benefits, recruiting, new hire testing, service awards, and special events. Other HR related duties as assigned. May conduct research within well defined parameters and compile statistical data for management's use. Essential Functions: 1. Coordinates Drug & Alcohol Program, Unemployment, Leave & Disability, and Internship Program for the field. 2. Proficiently utilizes diverse word processing skills to generate reports, correspondence, and presentations. Develops spreadsheets for designated projects. Uses creativity to prepare and design graphics for management presentations. Keeps updated and informed of new computer software programs and processes through in-house and offsite training. Provides ongoing computer training to management and staff. 3. Maintains business liaison with internal and external customers, suppliers, etc. Uses strong communication skills to identify and analyze customer problems. Utilizes company's available resources to respond to customer problems in a results-oriented manner. Maintains professional, ethical conduct at all times when communicating business-related company information to customers. Effectively interacts and communicates with all levels of management. 4. Anticipates and understands the needs of all principals and is able to prioritize their needs to ensure that projects are completed in an accurate, timely manner. Continually refines workplace standards and implements new processes to efficiently deal with the workload. Utilizes time management and organizational skills to produce required results. Schedules appointments, meetings, and travel arrangements to ensure that managers meet their commitments. Plans and schedules customer plant tours and lunches. Keeps a master calendar for all personal and department business trips, seminars, vacation time, and sick leave. 5. Coordinates with ESC to complete HRIS data input for new hires, job transfers, promotions, address changes, terminations, retirements, benefit changes and other HR-related changes. Completes all required record keeping and maintains personnel records and HR forms and files. Interacts with Payroll and ESC on pay issues, deductions (child support, garnishments), transfers, promotions & demotions. Maintains AAP data, and prepares year end reports for all of AB Retail, Logistics and Headquarters. 6. Coordinates with the Employment Center to provide the following recruiting/selection duties for AB Retail: Recruits, interviews & selection of hourly/non-exempt positions.  a) Recruiting and interviewing/selection of hourly/non-exempt positions.  b) Knowledgeable of uniform guidelines on employee selection.  c) Coordination of temporary employee staffing.  d) Coordination of drug and alcohol testing.  e) Interacting with Employment Center and payroll on pay issues.  f) Coordinate with locations to ensure that everything is prepared for   employee's first day (e.g. computer, telephone, new hire orientation, benefit packet, ect.)  Skill/Experience Requirements: Two year degree required, 4 year degree preferred Three plus years related experience and/or training Thorough knowledge of office procedures and practices Incumbents at this level have previous non-exempt or paraprofessional experience in related human resource capacity where some understanding of the programs, laws, rules, and regulations related to HR and safety have been developed. Incumbents would possess a two year degree  minimum and/or equivalent and three plus years directly related work experience. Ability to apply some advanced skills in procedures, processes, and techniques appropriate for the position within the assigned functional area. Skills should include bookkeeping/accounting; computer proficiency with word processing, spreadsheet, and presentation software; good verbal and written communication skills; and the ability to manage time effectively. Advanced skills include familiarity with power point presentation, capital budgeting process, purchasing issues, and/or human resource issues.
