Under the direction of the Human Resources Manager or Senior Human Resources Generalist, this role is responsible for providing day-to-day operational support to the regional human resources team, who service approximately 1,000 employees across a variety of business units.  This role serves as an entry level position within HR, and incumbent has opportunity to move into Generalist role. Job dutiesOn boarding New Hires1.       Once an employee is hired, the HRC will receive the new hire information from the recruiter.2.       The HRC will collect all signed forms and documents from the new hire.3.       After all forms and documents are completed, the HRC enters employee’s information in Ultipro to initiate the on boarding process.4.       Upon completion of the Ultipro transaction the HRC to create a new hire folder and file and notify the HR Rep for that employee.  Time and Attendance1.       Produce KRONOS reports as requested upon request.§          If reports required in depth analysis of employee’s labor cost, the request is sent to HRIS.2.       Enter PTO for assigned staff.§          Follow steps from SOP for Documentation of Exempt PTO. Tuition Reimbursement1.       Employees are expected to submit tuition reimbursement applications and agreements to the HRC with approvals from their AM and AD 4 weeks prior to starting any course.2.       The HRC reviews the tuition reimbursement applications and agreement to ensure compliance with company policy and have the HR Rep sign the document.3.       HRC enter applicant’s information into a spreadsheet used to track all tuition applications and agreements.  4.       Once all approvals are obtained, HRC notifies the employee of the approval.  A file folder is maintained by the HRC for all tuition reimbursement.5.       Upon completion of the course, the employee submits the following: final grades, receipts for approved reimbursable items, and any other supporting documents.  §          In order to be reimbursed, employee must obtain a grade of “C” or above (a letter grade of “C” will be reimbursed at 50% only) for undergraduate courses and a grade of “B” or above for graduate courses.6.       After all grades and receipts are verified, the HRC will create a Payroll Payment Request (PPR) for payment.  All reimbursements are approved by the local HRD[m1] /HRM. HRIS and Benefits Requests        The HRC is the point of contact for all requests from the HRIS department.  The HRIS department will forward all requests for assistance to the HRC.1.       The HRC will handle all Tier 1 requests for Payroll, Kronos, Ultipro, and Benefits.a.       HRC will escalate all Tier 2 requests and higher to the appropriate HR Rep.Employee Inquiries1.       Assist with basic employee inquiries; escalate to HR Rep. as necessary.2.       Prepare payroll payment requests (PPR) for retro pay and managers’ errors.§          All PPRs are expected to the necessary supporting documentation required for approval prior to submitting to the HRM or HRD Leave of Absences (LOA)1.       The HRC monitors employees coded as being out on leave of absence (LOA) in UltiPro.§          If an employee files a claim with MetLife, the HRC will monitor the employee’s claim status and ensure their leave is coded properly in UltiPro.  If an issue arises during the claim review process, the HRC will escalate the issue to the HRG.2.       The HRC ensures that AMs update the employee’s status in Ultipro and enter the effective date of their LOA.  AMs will also update the employee’s status upon return from LOA.3.       Monitor personal LOA.§          HRC ensures that the AM enter in Ultipro the day employee went on leave and also follow up with the AM to make sure the status of leave is changed upon employee’s return. Workers Compensation (WC)1.       The HRC supports the HR Rep by reporting all work related injuries base on information provided on the Williams Lea accident report form from the site.§          After all required paperwork has been submitted, the HRC will file a workplace injury claim with the Hartford via either the Hartford’s website or telephone.§          Once a claim has been placed, the HRC will maintain a separate file for all WC claims until closed.§          Any issues that arise from during the reporting of the claim are escalated to the HR Rep. Employee Separation1.       The HRC’s role in employee separation process includes preparation of the separation packet and separation letters.2.       The separation packet includes:§          Separation letter signed by HR Rep§          Copy of Confidential Agreement - signed by employee §          Benefits Upon Separation Q&A§          Any local/state mandated pamphlets regarding unemployment benefits§          Change of address form§          Exit questionnaire (for voluntary terminations)§          Severance letter (if applicable) §          Final payment (if applicable)3.       Verify term checklist complete the terminated employee’s file is converted to a termed employee file and kept separate from active employee files.4.       For states that require final pay at termination:a. The HRC will verify final hours and earned PTO in Kronos and create a PPR for the HR Rep approval.§                If the request is made for an instant pay card, the request is made to send the funding statement to both the HRC and HR Rep.b. Once the PPR is approved, the HRC will submit to Payroll for processing. Unemployment Claims                The HRC is the point of contact for the third party vendor who manages the unemployment claims for the company.1.       After an employee has been terminated, the HRC submits separation information to Talx.§          Log into Talx website and enter basic info into Talx system upon termination.2.       When employee’s initiates a claim for unemployment benefits, Talx sends an email requesting for more information on the termed employee from the HRC. 3.       Respond on decisions The HRC responds to any appeals or additional information required from Talx.§          In the case of an appeal, the HRG may have to attend a court hearing. Training & Development1.       Before the last week of every month, the HRC confirms which training courses will be schedule for the following month.§          An email with a calendar attachment is sent to the local HR Reps for confirmation.2.       The AMs and ADs are responsible for communicating with the HRC of any courses they want their employee to attend.§          Attendees are tracked via RSVPs sent to Train RSVP Register to View 3.       3 days prior to training date, the HRC provides the HR Rep with a list of RSVPs for the scheduled training. (1 day prior send attendee list)§          If 3 or more RSVPs, the training will take place.·          Confirm via email with AMs or ADs on attendance§          If less than 3 RSVPs, the training may be cancelled at HR Reps discretion.·          Confirm with HR Rep to cancel the class·          Inform AMs or ADs of cancellation and allow them to reschedule for next month.·          Inform the front office and/or office manager of cancellations so they can free up any reserved conference room(s).4.        Included in the monthly training calendar, the HRC keeps track of the local HR Team’s schedule. The purpose of this is to keep everyone aware of the team’s schedule.§          During the last week of the month, the HRC requests site visit schedules, PTO, etc. for the upcoming month from the HR team.§          The HRC enters any updated schedules or trainings provided from the HR team into the calendar.§          Upon confirmation from the HR team, the HRC send the calendar to the CIC for printing.§          The calendar is posted in the HR department. Employee Exceptional’s Program1.       The HRC will receive all monthly nominations for the Exceptional’s program2.       The HRC will send nominations to the AD and HR Rep to review and approve/disapprove3.       If approved
