Job Summary

Provides general front desk coverage including greeting guests, answering and directing incoming calls, maintaining supplies, and reception area appearance as well as mail distribution. This position also provides a variety of administrative duties in support of the Human Resources department and must have the ability to maintain confidentiality and handle sensitive information with discretion. This role is very diverse and requires the ability to multi-task, take independent initiative, properly organize and prioritize to meet deadlines while managing competing priorities. Must embrace a strong customer service mentality and function with a high degree of professionalism.

Job Responsibilities

  • Front office receptionist responsibilities include handling incoming calls and greeting visitors and guests. Responsible for ensuring all who enter and leave the building are signed in/out through the guest services system.
  • Provide HR process support which includes maintaining hard copy filing records, employee uniform ordering and distribution, and providing process-related guidance and information to employees.
  • Assist with employee communications, including postings, bulletin boards, newsletter, and ad-hoc notifications as needed.
  • Take the lead on external customer or guest visits by coordinating logistics, collateral, catering, set-up, and tear-down.
  • Assists with planning and execution of special events such as organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Assist HR in all aspects of the hiring process which will include job postings, correspondence with applicants, scheduling, new hire orientations, etc.
  • Process and distribute office mail as needed, type and distribute correspondence, make copies, etc.
  • Provide Safety process support to include drills and evacuations, ordering and maintenance of safety supplies, and other safety initiatives.
  • Maintain canteens and break areas to ensure timely ordering and delivery of supplies.
  • Will provide backup to bi-weekly payroll and assist as needed with payroll specific functions to include timekeeping responsibilities

Education and/or Experience

High school diploma or equivalent. 1-3 years of customer service and/or administrative experience required. Prior HR experience preferred.

Knowledge/Skills

  • Able to exhibit a high level of confidentiality
  • Able to multitask and prioritize tasks to address the most critical and pressing demands first
  • Proficiency in all Microsoft Office Suites: Word, Excel, and PowerPoint
  • Accurate and attentive to detail
  • Effective time management skills
  • Strong phone etiquette
  • Excellent verbal and written communication skills

Physical Demands

Regularly required to talk or hear. This is largely a sedentary role; however, the employee is frequently required to stand; walk; climb up and down stairs; lift weight up to 25 lbs; use hands to handle or feel; and reach with hands and arms.

Working Conditions/Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
