Job Description


The HR & Office Administrator should have a strong background in the construction industry to oversee both human resources and office management functions. This role supports leadership, project teams, and field staff by managing recruitment, compliance, payroll support, employee relations, and day-to-day office operations. The ideal candidate is proactive, adaptable, and capable of wearing multiple hats to ensure both the HR and administrative sides of the business run smoothly.

Key Responsibilities

Human Resources

  • Manage the full cycle of recruitment, onboarding, and offboarding.
  • Maintain accurate employee records, certifications, and compliance documents.
  • Assist with payroll processing, PTO tracking, and benefits administration.
  • Support supervisors with performance reviews, corrective actions, and employee write-ups.
  • Ensure compliance with OSHA, FMLA, ADA, EEO, and other state/federal labor laws.
  • Maintain subcontractor compliance documentation (COIs, W-9s, safety requirements, etc.).

Office Administration

  • Oversee day-to-day office operations, including supplies, equipment, and vendor management.
  • Serve as the point of contact for internal and external communications, including phone, mail, and email correspondence.
  • Assist executives and project managers with scheduling, document preparation, and filing.
  • Support financial tasks such as expense reporting, invoice coding, and basic bookkeeping assistance.
  • Organize company meetings, training sessions, and employee events.
  • Ensure the office environment is professional, efficient, and aligned with company culture.

Construction-Specific Support

  • Coordinate jobsite onboarding and safety orientation for new hires and subcontractors.
  • Maintain certified payrolls, EEO, and other reporting requirements for government or large-scale projects.
  • Work closely with project managers and superintendents to align workforce and office support needs.

Key Qualifications

  • 3+ years of HR and/or office administration experience (construction industry strongly preferred).
  • Working knowledge of HR practices including recruitment, compliance, and benefits.
  • Familiarity with construction operations, subcontractor compliance, and certified payroll (preferred).
  • Proficiency with Microsoft Office Suite, Rippling (similar HRIS), and QuickBooks (or similar).
  • Strong communication, organizational, and problem-solving skills.
  • Ability to multitask and manage priorities in a fast-paced environment.
  • Confidentiality and discretion in handling sensitive employee and company information.

Job Requirements:

  • Ability to travel locally to jobsites as needed.
  • Comfortable with prolonged periods at a computer.

Education

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • HR certification (SHRM-CP, PHR) a plus but not required.
