As a People and Capability (P&C) Administrator, you are the operational heartbeat of the HR function. This role is designed for a highly organized professional who excels at coordination and process management. By taking ownership of the administrative lifecyclefrom recruitment and onboarding to learning and engagementyou enable the P&C Manager to focus on high-level strategy and employee relations. You are the guardian of accurate records and the facilitator of a seamless employee experience.
Your Impact
Recruitment & Onboarding Coordination: Manage the end-to-end administration of the hiring process. This includes posting job advertisements, scheduling interviews, and maintaining recruitment trackers. You will prepare employment documentation and coordinate pre-employment checks and inductions to ensure every new starter feels welcomed and prepared.
Systems & Data Integrity: Maintain the "source of truth" for employee records across P&C systems (such as MYWB). You will take charge of essential trackers, including probation periods, leave, and WFH registers, ensuring all data is accurate and compliance-ready.
Employee Lifecycle Documentation: Draft standard correspondence for variations, confirmations, and visa letters using approved templates. You will also manage offboarding administration, ensuring checklists and records are archived in line with strict privacy requirements.
Learning & Engagement Support: Provide vital administrative backing for Learning & Development initiatives. You will track training attendance, assist with reporting, and help coordinate wellbeing events and staff recognition activities that drive a high-performance culture.
Continuous Improvement & Support: Assist with data collation for audits and reporting while identifying ways to streamline P&C processes. You will handle ad-hoc administrative tasks that keep the P&C function responsive and professional.
What You Bring
The Experience: Previous experience in an administrative, coordination, or support role. While HR exposure is a plus, your ability to manage databases and systems in a professional services environment is what truly matters.
Technical Mastery: Strong Microsoft Office skills (Word, Excel, Outlook). Experience with SharePoint or similar document management systems is highly desirable.
Communication Prowess: Clear written and verbal communication skills. You are comfortable drafting professional correspondence and providing responsive support to internal stakeholders.
The Mindset: High attention to detail and an unwavering commitment to confidentiality. You are a collaborative team player who is adaptable to changing priorities and willing to seek guidance when needed.
