Title HR and Executive Administrator Description

POSITION SUMMARY:

Provides administrative and operational support to the Human Resources function and executive leadership, including board governance support, international coordination, and management of sensitive corporate documentation. Key competencies include exceptional organization, attention to detail, proactive problem-solving, and the ability to act as a gatekeeper for senior leadership.

ILLUSTRATIVE DUTIES:

  1. Provide administrative assistance to assist in the achievement of work directly related to the Global Human Resources Team.
  2. Coordinate international sensitive documents with MFS subsidiaries and affiliates by acting as a liaison between all international contacts.
  3. CEO Admin Support.
  4. Maintain Executive staff calendars, monthly meeting agendas, document meeting minutes, and global holiday calendar
  5. Carry out any special projects in the Human Resources department as needed.
  6. Act as a company travel administrator, scheduling domestic and international travel and transportation as needed.
  7. Process passports, renewals, and visas.
  8. Serve as liaison to legal counsel for NDA review and coordination; maintain organized NDA repository.
  9. Coordinate company events, meetings, and catering.
  10. Be responsible for the organization of international central files and records.
  11. Maintain secure documentation systems and facilitate board-level communications and recordkeeping
  12. Act as part of the corporate proof reading team.
  13. Manages the Security Badge system and creates ID badges for new hires.
  14. Responsible for maintaining and updating personnel files on a routine basis. Maintains organization charts and company lists related to current and past personnel.
  15. Process employee tuition reimbursement and maintain corresponding records.
Position Requirements

MINIMUM REQUIREMENTS:

Requires a Bachelors degree in Human Resources, Business, or a related field. Prior experience working in Human Resources desired. Outstanding communications skills, good organizational skills, and coordination. Must be proficient in MS Word, Excel, and PowerPoint software applications. This position requires work schedule flexibility.
