POSITION SUMMARY :

The Leaves Coordinator supports the administration of employee medical leaves and reasonable accommodation processes for the University of Rhode Island. This position plays a key role in coordinating and supporting requests under the Americans with Disabilities Act ( ADA ), Family and Medical Leave Act ( FMLA ), and related state, federal, or university leave programs, ensuring an employee-centered, compliant, and timely process. It is incumbent upon this individual to maintain active working knowledge of all relevant laws and regulations in conjunction with the leave programs.

Working in close partnership with the Specialist, Employee Wellbeing, the Medical Leaves Coordinator manages intake, documentation, communication, tracking, and coordination for medical leaves and ADA -related accommodation requests. The Coordinator supports the interactive process by facilitating information exchange, maintaining records, and ensuring appropriate follow-up, while escalating complex determinations, accommodation decisions, and policy interpretations to the Specialist.

Duties and Responsibilities:
KEY DUTIES AND RESPONSIBILITIES :

ADA Reasonable Accommodation Coordination

Serve as an intake and coordination point for employee requests for reasonable accommodations under the Americans with Disabilities Act ( ADA ).

Support the ADA interactive process by coordinating communication, documentation, timelines, and follow-up under the delegation of the Specialist, Employee Wellbeing.

Track implementation and follow-up of approved accommodations and escalate complex or unresolved matters to the Specialist.

Medical Leave, FMLA , and Other Administration Support

Coordinate intake, documentation, processing, and tracking for medical leaves, including Family and Medical Leave Act ( FMLA ) requests, Workers Compensation, Parental Leave, and other leave types.

Assist with preparation of required notices, monitoring of leave usage, and tracking of intermittent or reduced schedule leaves; coordinate approval of sick leave banks in conjunction with the respective union contracts and university policies.

Return-to-Work Coordination

Support administrative aspects of employee return-to-work following medical leave, including documentation tracking.

Assist with coordination of temporary or transitional accommodations related to return-to-work.

Communication and Program Support

Provide clear procedural guidance to employees and managers regarding leave and accommodation processes, referring complex interpretation and decision-making to the Specialist.

Maintain accurate, confidential records related to medical leaves and ADA accommodations in designated HR systems.

Assist with reporting, audits, and process improvement efforts related to leave and reasonable accommodation administration.

Assist in the administration and promotion of the Universitys Employee Assistance Program ( EAP ).

OTHER DUTIES AND RESPONSIBILITIES :

Perform other duties as required.

LICENSES , TOOLS AND EQUIPMENT :

Automated computer systems to include word processing, Power Point, spreadsheets, and database management; calculator, telephone, copying machines, fax machines. Microsoft Office, Workday.

Required Qualifications:
QUALIFICATIONS :

REQUIRED :

1. Bachelors degree or equivalent combination of education and experience.

2. Minimum of two years of experience in human resources, benefits, medical leaves, or accommodation-related coordination.

3. Demonstrated knowledge of or experience supporting ADA reasonable accommodations and medical leave documentation processes.

4. Ability to handle highly sensitive and confidential information with discretion and professionalism.

5. Strong organizational, interpersonal and written communication, and recordkeeping skills.

6. Demonstrated ability to work effectively with diverse employee populations at all levels of an organization.

7. Demonstrated ability to communicate complex leave information to employees in ways they are able to understand.

8. Demonstrated experience using Microsoft Office suite and other HRIS software.

Preferred Qualifications:
QUALIFICATIONS :

PREFERRED :

1. Experience supporting ADA accommodations, FMLA , disability management, or absence management programs.

2. Experience in a higher education, healthcare, or unionized environment.
