The Human Resources Intake Specialist functions as a resource for employees and leadership and initiates the process to ensure employee relations issues are handled timely and prioritized accurately in accordance with standard criteria. This position functions as an integral part of the Employee Relations team to help encourage an environment of open communication and engagement that enables employees and managers to work together to achieve Tanner's mission.
Required Knowledge & Skills
Education: Bachelor's Degree
Experience: One year of related experience. Requires a working knowledge of standard practices and procedures.
Qualifications
*Minimum of 1 year of human resources experience, preferably in Employee Relations role.
*SHRM or HRCI certification preferred
*General knowledge of local, state and federal employment laws and regulations.
*Ability to think critically and make clear, well-reasoned and timely decisions. Strong problem-solving.
*Excellent interpersonal skills and ability to work with individuals or groups from diverse backgrounds at all levels of the organization.
*Excellent communication skills, both written and verbal, required. Must be diplomatic, tactful and possess the ability to listen and deescalate during emotional employment situations
*Strong organizational skills and ability to manage multiple tasks and projects.
*Ability to work successfully as a member of a team and independently with minimal supervision.
*Must exhibit strong professional ethics and confidentiality at all times and present a professional image.

Functions
Area of Responsibilities
*Works as an integral member of the Employee Relations team to provide policy and practice advisement, administrative support, system functions and reporting.
*Performs initial intake for managers and employees who have concerns about the workplace, working conditions, or other aspects of employment and uses judgment to ensure each case is assigned based on accurate priority levels in the Employee Relations system.
*Works closely with the Employee Relations team to ensure various steps involved in each case are coordinated and handled in a timely manner
*Develops and maintains HR Acuity employee relations system. Maintains and utilizes other HR systems as needed for employee relations functions, tracks data and runs HR metrics reports regularly for review by ER team and leadership
*Follows up with leaders to obtain documentation and other items needed to close out cases
*Tracks annual requirements including but not limited to noncompliance with annual in-service policy and follows up with leaders to obtain required disciplinary action and other documents as needed.
*Partners with Tanner EAP to schedule and coordinate drug and alcohol screens for employees on Last Chance Provision program
*Serves of primary contact for employment related subpoenas and coordinates with other departments to obtain required information.
*Processes and scans all incoming documentation related to Employee Relations such as disciplinary action, unemployment correspondence, etc.
*Assists with reviewing invoices for payment to include legal and unemployment
*Administers unemployment compensation program by drafting responses to state specific Department of Labor and tracking status of claims and files hearing requests with the Department of Labor as needed
*Acts as employer representative for unemployment hearings, providing detailed information regarding reason(s) for termination, highlighting evidence using case details and applicable policies. strategically cross-examines claimants as needed.
*Assists with team training duties to include coordinating training schedules, attendees, and training materials
*Handles the interactive process for all accommodations including PWFA, ADA, religious, makes recommendations and provides guidance to leaders and staff to ensure consistent application across the system
*Reviews all attendance corrective actions for accuracy and provides guidance to leaders and staff regarding current attendance policy and practices
*Provides back up to ER Specialist and Manager as needed to handle work related conflicts and investigations
*Assists with projects and programs of the HR department and organization as needed.
Compliance Statement
Employee performs within the prescribed limits of Tanner Health System's Ethics and Compliance program. Is responsible to detect, observe, and report compliance variances to their immediate supervisor, the Compliance Officer, or the Hotline.
