Job Summary:

The benefits specialist is responsible for assisting with the administration of all benefits and retirement programs, including medical, dental, vision, life insurance, short- and long-term disability, and 401(k) plan. Performs daily benefit processing; assures timeliness and accuracy of transactions (enrollment, change in coverage, etc.) and required reports.

Responsibilities:

  • Answers employee calls and walk-ins and acts as a liaison between employees and insurance carriers and benefits providers. First resource to assist employees by answering questions about their benefits package through Nova Biomedical.
  • Assesses and determines eligibility of applicants; assigns effective dates for benefits; communicates status of changes with employees.
  • Conducts new hire orientation.
  • Manages all third party benefit billings; requiring monthly review/reconciliation and frequent audits.
  • Serves as a liaison between third party benefit providers and employees.
  • Assists employees in leave of absence and disability claim application and notification process.
  • Reports and tracks workers compensation claims and OSHA reporting.
  • Oversees and identifies claim issues/trends by working with employee(s) and insurance companies to resolve applicable issues; then reports any issues and trends to Senior Benefits Specialist.
  • Extracts data from the HRIS and generates reports as needed. Troubleshoots program issues and recommends course of action and/or program enhancements.
  • Maintains and may develop benefit forms; assists with maintenance of the benefits sections of UKG and development of online processes.
  • Documents and maintains administrative procedures for assigned benefit processes.
  • Manages employee benefit files by ensuring files are updated, in order, accurate and properly documented.
  • Maintains strict confidentiality of benefit issues and documentation.
  • Assists with wellness activities and general HR duties as assigned.
  • Assists with special projects and performs other duties as assigned.
  • Performs audits as needed with benefits enrollment information to coordinate data between HRIS and vendors.
  • Assists with benefit communications including frequent contributions to FYI newsletter.

Experience Requirements:

  • Bachelor's degree in HR or related field, but experience and/or other training/certification may be substituted for the education. Working knowledge of applicable state and federal laws such as: COBRA, FMLA, ADA, and ACA.
  • LOA experience
  • Strong attention to detail, follow-through and a developed sense of urgency. Must be a multi-tasker.
  • Confidence with public speaking required for new-hire orientation and open enrollment presentations.

Physical Requirements and Working Conditions:

  • Must be able to use basic office equipment: computer, printer, copier, telephone, etc.
  • Must be capable of listening to and communicating effectively with others.

Work Location: Hybrid work schedule, onsite in our Waltham, MA office

Targeted Salary Range: $40 - $45/hour
