Who We Are: Aliveness Project is a community center for people living with HIV. We serve over 5,000 folks annually, the majority of whom are low-income. The Aliveness Project boldly advances equitable access to transformative HIV care and prevention. Our primary objectives are to ensure that our members have access to: Basic needs: We provide meals, a food shelf, and medical nutrition therapy while our Case Management team helps provide access to healthcare and housing. Community: Our community center model provides a safe and supportive place for members to gather and build community. Prevention: We provide a community-based free PrEP/STD Clinic, pharmacy, and targeted outreach to communities disproportionately affected by HIV through education, awareness, and strategies for eliminating stigma. Position Title : HR Coordinator Reports to: Director of HR & Operations Job Summary: The Human Resources Coordinator supports the administration of the human resources function at Aliveness, focusing on essential day-to-day HR operations, and ensuring smooth and efficient processes. This role is responsible for administering HR processes, maintaining employee records, supporting recruitment and onboarding, and serving as a key point of contact for employee inquiries. Working closely with the HR Director, the HR Coordinator helps ensure compliance with policies and regulations while fostering a positive and equitable employee experience aligned with the organization's mission and values. Major tasks include: HR Operations & Administration Maintain accurate and up-to-date employee records (personnel files, HR and payroll systems) Process employee status changes (hires, terminations, role/status changes) Track, complete, and/or manage HR documentation (I-9s, W-4s, compliance forms) Assist with audits and reporting requirements Recruitment & Onboarding Coordinate job postings and applicant tracking Support hiring managers throughout the recruitment process Facilitate onboarding (offer letters, new hire paperwork, orientation scheduling) in coordination with Operations and Hiring Managers Ensure a smooth and welcoming onboarding experience Compliance & Policy Administration Assist in maintaining compliance with federal, state, and local employment laws Support implementation and communication of HR policies and procedures Maintain required labor law postings and records Assist with internal audits and policy updates Benefits Administration Support employee benefits enrollment and changes Act as the first point of contact for benefits-related inquiries Respond to unemployment claims Submit worker's compensation reports of injury HR Projects & Process Improvement Assist with HR initiatives (DEI efforts, training programs, culture initiatives) Identify opportunities to improve HR processes and systems Support data tracking and reporting (turnover, headcount, etc.) Other Record and send all-staff meeting minutes Participate in staff meetings, regular supervision and organization wide efforts as requested Other duties related to the role as assigned Qualifications: Demonstrated commitment to equity, inclusion, and social justice, particularly as it relates to people living with HIV and other marginalized communities 1-2 years of relevant experience in HR or related fields Strong communication and problem-solving skills Ability to maintain a high level of confidentiality Ability to build trust and relationships across lines of difference Excellent organizational skills and ability to manage multiple priorities Commitment to Aliveness' mission of HIV education, prevention and destigmatization Preferred Qualifications: Experience working in or with non-profit, community-based, or health-focused organizations Basic knowledge of employment laws and HR best practices HR Certification (e.g. SHRM or PRH) Bilingual (English/Spanish or other language) Compensation: Salary range is $50,000 to $55,000 based on experience.
