Position Summary
The Office Manager / HR Assistant is responsible for supporting the daily operations of a home health or home care agency. This role helps ensure smooth office workflow, employee onboarding, scheduling support, compliance tracking, payroll assistance, and communication between caregivers, clients, and management. The ideal candidate is organized, professional, detail-oriented, and able to work in a fast-paced healthcare environment.
Essential Duties & Responsibilities
Office Management
* Manage daily office operations and maintain organized employee and client records
* Answer incoming calls, emails, and office inquiries professionally
* Assist with scheduling and staffing coordination for caregivers and nursing staff
* Monitor office supplies and maintain a clean, professional office environment
* Support managers and clinical staff with administrative tasks and documentation
* Assist with EVV/clock-in issues and communication with field staff
* Maintain confidentiality of employee and patient information in compliance with HIPAA
Human Resources Support
* Assist with employee onboarding and orientation processes
* Collect and organize hiring documents including licenses, certifications, IDs, physicals, TB tests, and clearances
* Track employee credential expirations and compliance requirements
* Help coordinate interviews and communicate with applicants regarding hiring status
* Maintain employee personnel files and HR documentation
* Assist with background checks, references, and employment verification
* Support employee relations and respond to staff concerns professionally
* Help process payroll information, attendance tracking, and timesheets
Compliance & Administrative Duties
* Ensure employee files remain compliant with state and agency requirements
* Assist with audits, surveys, and compliance preparation
* Maintain accurate documentation in EMR and scheduling systems
* Help monitor incident reports, call-offs, and staffing coverage
* Support retention efforts and employee engagement initiatives
Qualifications
* High school diploma or equivalent required
* Previous experience in home health, home care, healthcare staffing, or medical office administration preferred
* Experience with scheduling systems, EMR software, or EVV systems preferred
* Strong communication and organizational skills
* Ability to multitask and work under pressure
* Knowledge of Microsoft Office, Google Workspace, and office equipment
* Understanding of HIPAA and healthcare confidentiality standards
Preferred Skills
* Experience working with caregivers, CNAs, HHAs, LPNs, or RNs
* Familiarity with Medicaid, private duty nursing, or home care operations
* Payroll or HR experience preferred
* Ability to manage staffing emergencies and scheduling changes calmly and professionally
