This role ensures compliance, accuracy, and efficiency in benefits administration while serving as a supportive resource for staff, contributing positively to the overall employee experience and district culture. Qualifications - Education & Experience: High School Diploma or equivalent required. Associate or bachelor's degree in human resources, business administration, or a related field preferred. Two (2) years of experience in benefits administration, human resources, or school business operations required. Demonstrated abilities to work with staff and community members collaboratively. Experience and skill with computers and software programs, including Microsoft Office Suite (strong Excel skills preferred), Google Suite, Adobe, Human Resource Information Systems (HRIS), and specialized benefits administration platforms. Strong knowledge of state and federal regulations including FMLA, COBRA, FLSA, EEOC, HIPAA, and the Affordable Care Act (ACA). Ability to review collective bargaining agreements/employee contract language and accurately apply it to HR policies, benefits, and practices. Strong understanding of employee compensation/benefits processes and the ability to work in close coordination with the payroll department. Proactive self-starter with the ability to initiate, prioritize, and efficiently complete tasks with self-direction in a timely manner. Excellent written and verbal communication skills; demonstrated ability to collaborate effectively with staff, administration, and community members. Proven ability to handle highly confidential and sensitive information with absolute discretion. Excellent organizational skills and a sharp eye for detail and problem-solving. Essential Duties & Responsibilities: Benefits & Open Enrollment Administration Administer various employee benefits programs, including group health, flexible spending accounts (FSA), dental, vision, accident, disability, life insurance, supplemental life, and legal coverage. Plan and execute the annual employee open enrollment process; develop informational and cost documentation, schedule and assist with employee informational meetings, and update all deduction/benefit codes in the HRIS. Conduct benefits orientations for new hires, create clear benefits process documents, and assist employees navigating enrollment. Serve as the primary HR point of contact for contracted services (e.g., willSub, external security, and custodial contractors). Financial Operations & Billing Auditing Conduct rigorous monthly audits of all medical and insurance plan benefit bills against HRIS data to ensure accuracy of enrollments, tiers, and premium rates prior to authorizing payment. Process, verify, and prepare all departmental invoices and bills routed through the HR department for payment. Manage and reconcile HR department credit card expenditures, ensuring proper documentation, receipt retention, and budget coding. Prepare and submit accurate journal entries to the finance department to appropriately allocate HR and benefits expenditures. Audit all employee benefits deductions biweekly; manage benefits billing workflows and communicate real-time data/costs to the payroll and finance teams. Leave of Absence & FMLA Case Management Serve as the primary contact for employees, supervisors, and administration regarding FMLA, medical leaves, parental leaves, and other paid/unpaid leaves of absence. Guide employees through the leave request process; determine eligibility, distribute required federal and district notices, collect medical certifications, and issue approval/denial designations. Track and monitor leave timelines (intermittent and continuous), coordinate return-to-work logistics/fitness-for-duty certifications, and facilitate workplace accommodations in collaboration with leadership. Monitor and coordinate employee benefits premium payments during unpaid leaves; communicate leave statuses and paid/unpaid time calculations to the payroll team to ensure accurate pay processing. Systems, Compliance, & Reporting Manage data integrity within the benefits administration system; prepare and upload biweekly change reports, download payroll reports, and upload data to the HRIS (Skyward). Execute the year-end rollover of employee benefits information within the data systems. Accurately generate, prepare, and submit mandatory state and federal reports (e.g., ACA, REP, EEOC) and ensure required notices (COBRA, FLSA, HIPAA) are distributed to staff. Maintain accurate records regarding employee compensation, benefits classifications, and historical data. Facilitate and monitor district-wide training and development compliance via SafeSchools and Navigate 360. Monitor changing state and federal laws to recommend necessary updates to district processes. Professional Expectations & District Culture Serve as an accessible, helpful resource for staff and community members regarding HR and benefits inquiries, interpreting and explaining policies, procedures, and regulations clearly. Maintain regular and predictable in-person attendance. Openly support and abide by all school board policies, legal procedures, and administrative regulations. Actively support and advance the district's vision and mission. Perform other duties as assigned by the Assistant Superintendent of Human Resources. Reports to: Assistant Superintendent of Human Resources Salary : starting at $58,583; commensurate with education and experience.
