The Opportunity:

The Payroll Manager is responsible for the overall administration, compliance, and execution of multi-entity payroll operations across all company business units. Oversee payroll processing, Workday payroll and system administration, payroll audits, compliance, reporting, payroll accounting coordination, and payroll process improvements while ensuring accurate and timely payroll delivery.

Work Requirements

This position requires that at least 51% of the role be focused on management and leadership duties. If this requirement is not being met, it must be reported to the CEO immediately.

Payroll Operations

  • Manage end-to-end payroll processing for multiple entities and pay groups.
  • Process regular payrolls, off-cycle payrolls, bonus payments, retroactive pay, and termination checks.
  • Review payroll calculations including overtime, premiums, incentives, taxable benefits, garnishments, and deductions.
  • Manage payroll funding and payroll processing schedules.

Workday Payroll Administration

  • Serve as system administrator for Workday Payroll.
  • Lead User Acceptance Testing (UAT), payroll parallel testing, and validation efforts for payroll and HCM configuration updates, earnings calculations, and process enhancements.
  • Maintain payroll earnings, deductions, taxes, pay groups, and payroll business processes.
  • Partner with vendors and consultants to resolve payroll system issues.

Compliance & Audits

  • Ensure compliance with federal, state, and local payroll regulations, including California wage and hour laws.
  • Oversee payroll tax reporting and regulatory compliance.
  • Lead payroll-related audits, including financial statement and workers' compensation audits.
  • Develop and maintain payroll policies, procedures, and internal controls.

Reporting & Financial Partnership

  • Prepare payroll reports, reconciliations, and workforce analytics.
  • Partner with Finance on payroll accounting, labor reporting, accruals, and budgeting.
  • Analyze payroll data and recommend operational improvements.

Leadership

  • Train and mentor payroll and HR staff.
  • Enforce company initiative such as managing overtime, meal attestations, etc.
  • Serve as the primary escalation point for complex payroll issues.
  • Develop payroll-related SOPs, controls, and best practices.

Qualifications of Requirements

  • Business proficiency in Payroll Systems (Workday) is required
  • Minimum of 5+ years of progressive payroll experience with Workday. CPP preferred but not required.
  • Deep subject matter expertise in regulatory and compliance matters including but not limited to HIPAA, ACA/ PCORI, ERISA, Non-Discrimination Testing, 5500s, and related state/local laws.
  • Strong knowledge of multi-entity US payroll, with excellent understanding of California payroll laws and regulations
  • Expert knowledge in Microsoft Excel spreadsheets is required
  • Bilingual preferred (English/Spanish)
  • Strong reasoning and math skills.
  • Bachelor's degree from a regionally accredited four-year college or university or 5+years related experience and/or training required
  • Must have valid CA Driver's license
  • Flexible in approach, able to work in a fast paced, dynamic environment.
  • Ability to be respectful, approachable and team oriented while building strong working relationships and a positive work environment.
