Maryland Transit Administration (MTA) is recruiting for an Human Resources Associate (TE) . The Human Resources Associate (TE) position provides front-line administrative and operational support for the Human Resources Department and serves as a key support position within the HR administrative team. Reporting directly to the HR Office Manager, this position is responsible for front desk and reception coverage, administrative support functions, coordination of onboarding activities, and assistance with general HR operations and administrative projects.

This position also provides administrative support to HR Deputy Directors and assists with maintaining efficient day-to-day office operations to ensure a professional, customer-focused experience for employees, applicants, retirees, vendors, and visitors interacting with the Human Resources Department.

The ideal candidate is computer savvy, highly organized, customer-service oriented, detail-focused, and able to manage multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.

Essential Functions & Responsibilities

Front Desk & Reception Operations

  • Serve as the primary front desk and reception contact for the Human Resources Department.
  • Greet employees, applicants, retirees, vendors, and visitors in a professional and welcoming manner.
  • Answer and route incoming calls, emails, and inquiries to appropriate HR staff.
  • Monitor lobby/reception areas to ensure a professional and organized environment.
  • Schedule and coordinate conference room usage and visitor appointments as needed.
  • Assist with managing incoming and outgoing mail, deliveries, and HR correspondence.

Administrative Support

  • Provide administrative support to HR Deputy Directors.
  • Prepare correspondence, reports, forms, meeting materials, presentations, and other administrative documents.
  • Maintain calendars, coordinate meetings, and assist with scheduling activities.
  • Assist with maintaining organized electronic and paper filing systems.
  • Support preparation of spreadsheets, logs, trackers, and HR records.
  • Coordinate office supply inventory and administrative purchasing requests.
  • Assist with data entry and routine updates within HR systems, databases, or tracking tools.

HR Operational Support

  • Assist with onboarding activities for new employees, including preparation of onboarding materials, scheduling onboarding sessions, and coordinating logistics.
  • Support HR administrative processes related to recruitment, personnel transactions, benefits, leave management, and employee services as assigned.
  • Assist with maintaining personnel files and ensuring documentation is properly organized and retained.
  • Help coordinate employee communications, HR events, meetings, and training sessions.
  • Support HR staff with routine follow-up activities and administrative coordination.
  • Assist with processing and tracking HR-related forms and documents.

Administrative Project Support

  • Assist the HR Office Manager and HR leadership team with small administrative and operational projects.
  • Help maintain departmental trackers, reports, and workflow monitoring tools.
  • Support implementation of administrative process improvements and organizational initiatives.
  • Assist with special projects, audits, and departmental initiatives as assigned.
Education : Graduation from a standard high school or possession of a State high school equivalency certificate. Experience : Three (3) years of general clerical or administrative support experience. *One (1) year of which must have been paraprofessional HR experience involving the application of public sector procedures, policies, rules and regulations to specific employment actions.
