Responsibilities
Temporary Staffing Office - Customer Relationship Management:
- Develop and implement efficient processes to ensure smooth workflow in the placement and tracking of temporary associates at the University.
- Ensure prompt, effective, professional interactions and provide consistent, high-quality customer service.
- Provide proactive, responsive, and effective support to resolve issues as they arise.
- Build and maintain relationships with vendor partners and HR departments at the University.
Temporary Staffing Office - Vendor Management:
- Independently manage the sourced candidates, submissions, and interview scheduling process for temporary candidates.
- Work with Vendor Partners to make the candidate submission and associate management process seamless with an emphasized attention to detail.
- Collaborate with vendor partners to prioritize the placement of qualified candidates from the local community across the University in temporary positions.
- Provide ongoing feedback to Vendor Partners on candidate submissions and associates' assignment performance and work with hiring managers to track associate hours to ensure compliance with university policies.
- Address timekeeping and invoicing issues, ensuring records and reporting are accurate and up to date.
- Train vendor partners and Columbia hiring managers on technology tools.
Technology Utilization and Process Optimization:
- Leverage technology to streamline staffing processes and improve operational efficiency.
- Provide real-time reporting to hiring managers and vendors to track temporary staffing activities.
- Utilize technology to send automated email updates, including notifications on assignment terminations and reminders for pending timesheet approvals.
Temporary Staffing Office and Columbia Employment Information Center (?CEIC?) - Project Work:
- Collaborate with CEIC staff on open temporary positions with a focus on local hiring.
- Participate in and contribute to internal projects and initiatives.
- Perform other related duties as assigned or requested, including but not limited to data management and ad-hoc projects across the CEIC teams.
- Act as a proactive team member on special projects as needed.
Minimum Qualifications
- Bachelor?s degree and/or the equivalent with a minimum of 2 years of related experience required.
Other Requirements
The successful candidate will possess:
- Proficiency in utilizing technology for tracking clients and associate information, reporting, and workflow automation; advanced level Excel/Google Sheets (vlookup, pivot tables, other analytical formulas), Google Suite, and Microsoft 360.
- Proven success in administrative support, ideally in an HR or Staffing environment.
- Excellent customer service and relationship management skills.
- Strong verbal and written communication abilities.
- Ability to manage multiple tasks with attention to detail and adjust priorities based on changing business needs.
- Goal-oriented mindset with a team-focused approach.
- Knowledge of lawful employment practices, including interviewing and selection standards.
- Flexibility to respond to urgent staffing needs outside of standard business hours.
