Lead Payroll Administrator

Role Summary:

We are seeking an experienced and detail-oriented Senior Payroll Administrator to oversee end-to-end payroll operations for approximately 800 U.S.-based employees. This role plays a key part in ensuring payroll accuracy, compliance, and timely execution. You will serve as the main point of contact for payroll inquiries and work closely with internal teams and third-party providers to support seamless payroll operations. Key Responsibilities:
  • Manage and process multiple bi-weekly payrolls with a high level of accuracy and timeliness.
  • Serve as the primary contact for all payroll and timekeeping matters, including troubleshooting discrepancies and resolving employee issues.
  • Execute monthly payroll closing tasks, including journal entries, benefit accruals, and reconciliation of payroll-related accounts.
  • Drive process improvements by evaluating, updating, and communicating payroll procedures to enhance accuracy and efficiency.
  • Collaborate with HR team members to validate and maintain accurate payroll data.
  • Issue off-cycle payments and ad hoc disbursements as necessary.
  • Prepare year-end reports and ensure timely filing of W-2s and other government-mandated documents.
  • Research and register new state and local tax jurisdictions as needed for payroll compliance.
  • Partner with payroll service providers to support system upgrades and maintain platform functionality.
  • Ensure ongoing compliance with federal, state, and local payroll regulations.
  • Communicate payroll updates and process changes to employees and managers in a timely manner.
Qualifications:
  • BA in Accounting, Finance, Business, or equivalent combination of education and experience.
  • Minimum of 5 years experience in U.S. payroll administration.
  • Strong understanding of payroll laws, accounting principles, and tax regulations across various jurisdictions.
  • Proven ability to work independently, communicate cross-functionally, and manage sensitive data with discretion.
  • Demonstrated success in improving payroll processes, implementing best practices, and maintaining internal controls.

  • the individuals skill sets, experience and training;

  • licensure and certification requirements;

  • office location and other geographic considerations;

  • other business and organizational needs.

With that said, as required by local law, Vaco by Highspring believes that the referenced salary range reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
