The Receptionist/HR Department Assistant provides the highest level of customer service to our internal and external customers and represent the organization at the front desk. This highly visible position will be responsible for performing various administrative tasks, responding to telephone inquiries, scheduling meetings, directing callers to appropriate parties, issuing security access and mail/UPS. This position will provide support to the Corporate & Human Resources Departments.

DUTIES

  • Phone management, answer, screen, and direct telephone calls to the appropriate parties, ensuring inquiries are handled efficiently. Exhibit a high level of customer service to provide exceptional support.
  • Calendar management, schedule meetings with multiple participants across various locations and time zones, effectively resolving scheduling conflicts.
  • Greet and assist visitors in a professional, friendly, and helpful manner.
  • Coordinate and schedule appointments with inbound and outbound carriers, such as: UPS and the Post Office, and troubleshoot any related issues.
  • Maintain the supply room, ensuring inventory levels are replenished as needed.
  • Receive and distribute incoming mail and parcels to the appropriate departments.
  • Maintain the visitor log and front desk duties on a daily basis.
  • Responsible for making new employee badges and deactivating them.
  • Must be able to use judgement and discretion to recognize emergency situations, following front desk emergency procedures as required.
  • Perform various HR tasks, including entering employee records, managing training records, and scheduling training sessions.
  • Multitasks across various projects, balancing priorities, and administrative support to maintain smooth operations.
  • Help support internal events (company-wide or departmental), such as the holiday event, ad hoc celebrations, etc
  • Coordinate and place lunch orders for meetings and company events as needed.
  • Assemble and distribute welcome kits for new hires.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Four + years in a related field. Must be able to demonstrate a professional demeanor and appearance to represent Econolite in a positive and professional manner (smile in your voice).
  • Bachelor's degree in Human Resources, Business Administration, Marketing, English, Journalism or other related field.
  • An essential function of this role is having excellent punctuality and attendance.
  • Exceptional customer service skills with a focus on interpersonal communication.
  • Strong verbal and written communication abilities.
  • Strong computer software skills using MS Office programs including Outlook, Word, Excel, and PowerPoint. Proficiency utilizing Teams technology. Ability to learn new programs quickly and thoroughly.
  • Previous human resources experience helpful
  • Ability to perform duties with minimum supervision and with great degree of accuracy.
  • Ability to take up new and different challenges as dictated in a constant changing environment.

PRE-EMPLOYMENT

COMPENSATION

The base pay range for this full-time non-exempt position is $21.00 - $25.00 per hour plus benefits. Pay ranges are determined by various factors, including role, experience, and location. The pay range displayed reflects the minimum and maximum target for new hire base pay rates for this position. Within the range, actual individual compensation is determined by various factors, including location, job-related skills, experience, and relevant education or training.
