J o b Summary:

Under general supervision manages district and public fingerprinting process and badging of all employees , volunteers , and contracted workers . Assists with d irect ing calls and visitors to appropriate departments and staff; serves as onboarding receptionist__greets and receives visitors providing routine information to students, faculty, parents, and the public; provides general clerical support to HR Department .

  • Bilingual preferred
  • High School Diploma/GED
  • One year of responsible and varied clerical or secretarial work ; including public contact responsibilities or any combination of training, education and/or experience which could likely provide the required knowledge and ability.
  • Verifiable work and character references.

Essential Duties and Responsibilities :

  • Assist with g reet ing the public , parents, students, vendors, etc. for the purpose of responding to their inquiries and/or directing them to appropriate personnel.
  • Assist with a nswer ing multiline telephone system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
  • As s ist with m aintain ing board room and conference room calendars, including setting rooms up for scheduled meetings ?
  • Provide lunch break to district receptionist.
  • Assist with r espond ing to inquiries of staff, other educational institutions, the public, parents and/or students for the purpose of resolving inquiry and/or forwarding to appropriate parties.
  • Assist with the hiring process by updating/posting vacancies , fingerprinting , badge printing , and other functions related to hiring new employees
  • Assist with m ak ing appointments for and administers tests for applicants for Para Educator
  • Assist with d istribut ing US mail, incoming materials and packages, supplies, messages, etc. for the purpose of disseminating materials to appropriate parties.
  • Performs record keeping and clerical functions ( e.g., update databases, standardized report generation, prepare mailers, filing, etc.) for the purpose of supporting the HR D epartment .
  • Updates job knowledge by participating in educational opportunities; reading professional publications.
  • Assist employees with access to district software applications .
  • Maintain department webpage on district site.
  • Performs other duties as assigned.

Knowledge of :

Machines, Tools, and Equipment :

Must know how to properly operate, or be willing to learn to operate, multi-media equipment including current technology as needed. (Various machines and equipment including but not limited to computer, iPad, printer, scanner, copier, etc.)

Safety and Health :

Knowledge of universal hygiene precautions (blood borne pathogens, body fluids, etc.)

Ability To :

Operate office equipment, including a computer (keyboarding at 45 WPM), copier, and calculator. Understand and follow oral and written directions. Apply appropriate office procedures, rules, and methods. Communicate effectively both orally and in writing in English (and Spanish, preferred). Interact with the public and staff in a friendly and professional manner, including speaking clearly and distinctly. Operate office equipment. Understand and carry out oral and written directions. Establish and maintain cooperative working relationships.

L anguage S kills :

Ability to read and interpret documents such as safety rules, operating , maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization .

R easoning A bility :

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Physical Requirements

Walking, standing, sitting, bending, kneeling, and squatting, climbing stairs, speaking, and listening, reaching with hands and arms, having full mobility of fingers/hands to finger, handle or feel, close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus, carrying, lifting, and moving up to 25 pounds and/or moving light furniture may be required.

Work Environment

Must be able to work within various degrees of noise and temperature. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision. After-hours work may be required. May make site visits as needed. May work under stressful conditions on occasion.
