We are seeking a detail-oriented Recruiting Coordinator / HR Support professional to support hiring and onboarding activities while delivering a smooth, high-quality experience for candidates and new hires. This role partners closely with recruiters, hiring managers, and HR teams to ensure processes are executed accurately, efficiently, and in compliance with employment requirements. Key Responsibilities Coordinate and administer onboarding activities for new hires, ensuring all required steps are completed accurately and on time Act as a primary point of contact for candidates and newly hired employees, providing guidance and support throughout the onboarding process Collaborate with recruiters, hiring managers, and HR partners to ensure a seamless transition from offer acceptance to day one Prepare and distribute onboarding communications, welcome materials, and pre-start instructions Maintain and update employee records within HR systems, ensuring data accuracy, confidentiality, and compliance Support employment eligibility verification, background screening coordination, and system access requests Respond to employee questions related to onboarding, HR programs, payroll, benefits, and personal information following established procedures Assist with monitoring onboarding progress and resolving issues related to systems, documentation, or process gaps Partner with HRIS and internal stakeholders to troubleshoot system-related discrepancies or onboarding delays Contribute to reporting and tracking related to onboarding activity, compliance, and headcount metrics Identify opportunities to improve workflows, documentation, and the overall onboarding experience Exercise sound judgment when handling sensitive information or determining when escalation is required Qualifications 1-3+ years of experience in recruiting coordination, HR operations, onboarding, or a related administrative support role HS diploma or equivalent Working knowledge of HR processes, employment documentation, and compliance requirements Experience maintaining employee data in HR systems or applicant tracking systems (ATS/HRIS) Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment Excellent written and verbal communication skills with a professional, service-oriented approach Proven ability to handle confidential information with discretion Strong organizational and follow-up skills; able to meet deadlines with minimal oversight Proficiency with Microsoft Office tools (Outlook, Excel, Word); comfort learning new systems and technologies Ability to collaborate effectively across teams and adapt to changing priorities Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
