This critical role focuses heavily on HR information systems (HRIS) management, data integrity, and workflow automation, alongside overseeing employee compliance, certification tracking, and onboarding lifecycles. The ideal candidate possesses minimum 3-5 years of HR experience and combines strong systems expertise with excellent interpersonal skills to drive departmental efficiency. PRIMARY DUTIES AND RESPONSIBILITIES: Perform duties as the initial contact for the public and the staff in all matters relating to Human Resources. Act as a first point of contact for contract and employee agreement inquiries. Maintain and enter data as needed in the HR Information System(s) and related databases including but not limited to entering new hire information, effectuating necessary changes for a current staff member, address and name change, resignation, and position change. Maintain all absences, paid time off tracking, workers compensation absences, absence inquiries, and the database tracking absences. Coordinate with the substitute service for all substitute inquiries and billing. Assist with processing all paperwork associated with employee FMLA including tracking such leave. Perform HR related onboarding and offboarding responsibilities including sending offers as well as scheduling, coordinating relevant materials and resources, and conducting the onboarding meeting. Offboarding responsibilities including processing resignations/terminations and scheduling an exit interview with the HR Director if requested. Enters new hires into the appropriate information systems and collaborates with/notifies applicable departments of the new hire and corresponding relevant information. Updates and maintains the relevant notification procedures (personnel action form) and workflows. Maintain all certification files for active and inactive professional employees. Process correspondence annually to professional employees possessing Level 1 certificates regarding the status of their certificates as it pertains to their continued validity and anticipated expiration. Approve substitute packets from the District's substitute provider. Coordinate with the Administrative Assistant/Data Specialist with Curriculum/Technology to ensure any emergency certificates are approved and active. Process certification for substitute teachers; maintain records for those issued Emergency Certificates via TIMS. Perform clerical duties including but not limited to answering phones, receiving visitors, typing documents, maintaining files and processing mail. Maintain all personnel records for all district personnel and district substitutes. Submit all personnel items for Board action; complete appropriate correspondence following meetings to implement changes. Maintain records for salary track changes, tenure, supplemental assignments, and Instructional II certification; complete required paperwork for the same. Maintain personnel information to provide to the Curriculum and Data Specialist for all Pennsylvania Department of Education annual personnel reports (PIMS Staff, EEO-5, SupPer, etc.), surveys. Member of the Supplemental Committee and ensures payroll receives the supplemental and special positions payment schedules for timely payment. Back-up to the HR Secretary and Secretary to the Superintendent. Perform other duties as assigned by the Director of Human Resources. QUALIFICATIONS: Three to five (3-5) years experience in Human Resources required High School diploma required School district experience preferred Submission of pre-employment medical examination (Section 148 of the Pennsylvania School Code) Submission of a report of criminal history record from the Pennsylvania State Police (Section 111 of the Pennsylvania School Code) FBI Criminal History Record Submission of a clearance report from the Pennsylvania Department of Public Welfare in accordance with Act 151 of 1994 Such alternatives to the above qualifications as the Board may find appropriate and acceptable PHYSICAL DEMANDS: Ability to reach above and below the waist Ability to use fingers to pick, feel and grasp objects Ability to lift and/or carry supplies and/or papers weighing no more than 20 lbs.
